Church AI technology that understands ministry, built by former pastors.

  1. Who we are and what this policy covers

    Missional Software, LLC, which operates Missional Agents ("Missional Agents," "we," "us") provides an AI-powered receptionist and related ministry tools that answer and manage phone calls for churches and other ministries (our "Churches"). We are located at 1739 East Kenwood Street, Mesa, AZ 85203.

    This policy applies to:

    • Callers: people who phone a Church that uses our AI receptionist.
    • Church users: pastors, staff and volunteers who use our dashboard at app.missionalagents.com.
    • Website visitors and prospects: people who visit missionalagents.com, request a demo, take our Church EKG Assessment, or contact us.

    It does not cover a Church's own websites or systems, or how a Church handles information after it receives it.

  2. Our role and your Church's role

    When a Church uses our service, the Church decides what calls are handled and recorded, and we process call information on the Church's behalf to provide the service. In privacy-law terms, the Church is the "controller" or "business," and Missional Agents is its "processor" or "service provider" for call data. We use call data only to provide, secure, support and improve the service, as described below.

    For Church user accounts, website visits and demo requests, we decide how the information is used, so we act as the controller or business ourselves.

    If you are a caller and want to access, correct or delete information from your call, please contact the Church first. We will help the Church respond to your request.

  3. Information we collect

    From callers (on behalf of Churches)

    • Audio recordings of calls with the AI receptionist.
    • Text transcripts generated from those recordings.
    • Phone number and caller ID, plus the date, time, duration, routing and escalation outcome of each call.
    • Details you choose to share, such as your name, email, address, reason for calling, prayer requests, visitor or volunteer information, requests for assistance, messages for staff, and the number you give us if you ask the AI to text you something, such as a link.
    • Information the system derives from the call, such as its category, a summary, urgency or crisis flags, callback requests and follow-up tasks.

    From Church users

    • Name, role, email, phone number, Church name and website, and login credentials.
    • Account settings, phone-system configuration and the Church information you give the AI to use on calls.
    • Billing and subscription details (payments are processed by Stripe), and your communications with support.

    From website visitors and prospects

    • Information you submit in demo, contact, live-demo callback and Church EKG Assessment forms: name, email, phone number, Church name, role, your answers and any notes.
    • Chats with our website assistant, MIRA.
    • Device and usage data collected through cookies and similar technologies, such as IP address, browser type, pages viewed and referring page.
  4. How we use information

    We use information to:

    • Answer, route and document calls, take messages, schedule callbacks, and escalate emergencies to Church staff.
    • Produce transcripts, summaries, categories and follow-up tasks that appear in the Church's dashboard.
    • Operate, secure, troubleshoot and support the service, and detect fraud, abuse and spam.
    • Improve the accuracy and quality of the service, for example by reviewing call scenarios to improve how the AI responds.
    • Communicate with Church users about their accounts, security and service updates, and, where the law allows, about our products. You can opt out of marketing at any time.
    • Comply with the law and enforce our agreements.

    How the AI works. Calls are answered by an AI agent that uses speech recognition, language models and synthesized voice, some of which are provided by third parties. Call content is sent to those providers only to process the call. The AI can mishear or misclassify what is said, so Churches should review important messages. The AI routes and records requests; Church staff, not the AI, decide what actions to take in response to a call.

    What we do not do. We do not sell personal information. We do not use call audio or transcripts for advertising, our AI vendors do not use them to train third-party models, and we do not create voiceprints to identify individual callers.

  5. How we share information

    • With the Church. Call audio, transcripts, summaries and contact details are available to the Church's authorized users. The Church controls who on its team has access.
    • With service providers. We use vendors under contract to help run the service, and they may use the information only for that purpose. Categories: telephony and phone-number providers, speech-recognition and AI model providers, cloud hosting and storage, email and scheduling tools, analytics, customer support, and payment processing. Our current providers include Twilio (telephony and text messaging), Vapi (voice orchestration), Deepgram (speech recognition and text-to-speech), ElevenLabs (text-to-speech), OpenAI and Anthropic (language models), and Stripe (payments).
    • For legal and safety reasons. We may disclose information to comply with law, subpoenas or court orders, to protect rights, property or safety, or when we believe someone is in imminent danger.
    • In a business transfer. If we are involved in a merger, acquisition or sale of assets, information may transfer to the new owner, who must honor this policy.
    • With your consent or at your direction.
    • De-identified or aggregated data that cannot reasonably be linked to a person may be used for product improvement and statistics.

    We do not sell personal information or share it for cross-context behavioral advertising.

  6. Call recording, AI disclosure and consent

    Calls to a Church that uses our service are answered by an AI assistant, not a person, and are recorded and transcribed. The default greeting tells callers that they are speaking with an AI and that the call is recorded. Churches can customize the greeting and are responsible for keeping these notices in it.

    Some U.S. states require every party's consent to record a call. By staying on the line after hearing this notice, you consent to the recording, transcription and AI processing described in this policy. If you do not want to be recorded, please hang up and contact the Church another way.

    Text messages. If you ask the AI during a call to text you something, such as a link to a giving form, we send one message to the number you give us, in response to your request. Message and data rates may apply. We do not currently make outbound marketing calls or texts on a Church's behalf; if that changes, we will update this policy.

    Churches are responsible for using the service lawfully, including any recording notices, AI disclosures, and rules on calls and texts for marketing or follow-up (such as the Telephone Consumer Protection Act), and for giving callers any additional notices the law requires.

  7. Data retention

    We delete call audio after 6 months and keep text transcripts until they are deleted. Information

    Information How long we keep it
    Call audio recordings 6 months from the date of the call, then deleted
    Text transcripts, plus the summaries, categories and tasks derived from them Indefinitely while the Church's account is active; deleted following account closure, or sooner after a verified deletion request
    Church user account information While the account is active, then 120 days after closure unless the law requires longer
    Website, demo and assessment submissions 365 days after submission of the form

    Deleting the audio does not delete the transcript, and a transcript can contain everything that was said on the call. To have a transcript deleted, Churches can contact us, or callers can ask the Church or contact us (see Section 10). We may keep information longer where the law requires it or to resolve disputes and enforce our agreements.

  8. Sensitive information and pastoral conversations

    People who call a Church may share information that reveals religious beliefs, health conditions, family circumstances or financial hardship, for example in prayer requests, hospital calls or requests for assistance. We treat this as sensitive. We use it only to provide the service to the Church, and not to build advertising profiles or to infer characteristics for other purposes. Church-level trends in the dashboard, such as call topics and volumes, are for that Church's own use.

    The AI is not a pastor, counselor or emergency service. Anything you tell it is recorded, transcribed and visible to the Church's authorized users, and it may not be covered by clergy confidentiality or other legal privileges. If you want to speak confidentially, ask to be connected to a pastor or contact the Church directly. If someone is in immediate danger, call 911. In the U.S., you can call or text 988 for suicide and crisis support. Our system is designed to detect and escalate possible emergencies, but we cannot guarantee that it will catch every one.

    We are not a health care provider, and information you share with us is not protected health information under HIPAA.

  9. Security, children, cookies and analytics

    Security. We use safeguards such as encryption in transit and at rest, role-based access controls and activity logging, and we choose vendors with care. No system is completely secure. If a breach affects your information, we will notify you and regulators as the law requires.

    Children. Our service is not directed to children under 13, and we do not knowingly collect their personal information. Because Churches have youth ministries, a young person may call a Church. If you believe a child's information was recorded, contact the Church or us and we will delete it.

    Cookies and analytics. Our website uses cookies and similar technologies, including Google Tag Manager and Google Analytics, to understand site traffic and measure marketing. Embedded videos, such as YouTube, may set their own cookies. You can control cookies in your browser settings, and we honor Global Privacy Control signals where the law requires. The dashboard uses cookies needed for login and security.

  10. Your privacy choices and rights

    Callers: contact the Church you called first, since it controls its call data. You can also contact us and we will pass your request to the Church or help the Church respond.

    Church users and website visitors: contact us at the address below.

    Depending on where you live (including California, Colorado, Connecticut, Texas, Virginia and other states with privacy laws), you may have the right to:

    • Know what personal information we hold and get a copy;
    • Correct inaccurate information;
    • Delete your information;
    • Opt out of the sale or sharing of personal information and of targeted advertising (we do neither for call data);
    • Limit the use of sensitive information (we use it only to provide the service);
    • Appeal a decision on your request;
    • Not be treated unfairly for using these rights.

    We will verify your identity before acting on a request and respond within 45 days, extended once if the law allows. You can use an authorized agent. You can unsubscribe from marketing emails using the link in any message.

    Our service is operated from the United States for U.S. Churches. If you contact us from elsewhere, your information will be processed in the U.S.

  11. Changes to this policy and contacting us

    We may update this policy as the service changes. We will post the new version with a new effective date and, for material changes, notify Church users by email or in the dashboard.
